Let's get
future ready

How we used to work was good. How we’ll work from now on will be even better. From our site booking tool and a peek at your new space, to all our new safety measures, welcome to everything you need to know about getting future ready.
Vodafone
We’ve shown how well we can work together virtually, and at the same time the flexibility this offers gives us all a better balance, allowing more freedom to juggle our busy lives.
We’ve also learnt that at times we need the magic of physically coming together in order to be creative, collaborate or simply just to connect.

Vodafone is future ready.

The prospect of returning to the office is exciting but can also be a little daunting. So, we’ve taken extra steps to ensure you can return to site working with safety and confidence. Check out our Becoming future ready: Covid safety measures section for more details.
The story so far

How will you work?

Home-based

Field & Site

Blended

Back

Home-based

You’ll work from home almost all the time. You’ll come together on certain occasions during the year. Our Office in a Box home-working kit will be available for all who need it.
This will include:
  • Most of our CS&O roles, including Care agents
  • A few specific Technology roles
  • People already home-based
Back

Field & Site

If you’re a field or site worker you’ll continue to work in the same way as before. You will still come together or visit an office when needed, but there will be no change to any contracts or policies.
This will include:
  • Retail stores
  • Some Technology roles, for example network engineers
  • Some of our Business Care teams
  • People already ‘location-independent’ or based at customer or Vodafone sites
Back

Blended

Here, most people will be able to work from home most of the time. You will come to the office as needed to get things done for your role and for what the task at hand requires, otherwise you'll be able to work from home. Our Office in a Box home-working kit will be available for all who need it. There are no contractual changes: the principles of future ready are covered in our new Remote Ways of Working policy.
This will include:
  • Most of our support and HQ roles
  • About 60% of all our people

Remember!

There is no hard and fast percentage or ‘rule’: start with our two guiding principles and make sure you and your teams always work in the way that’s needed in order to deliver for our customers.

The story so far...

We’ve shown how well we can work together virtually, and at the same time the flexibility this offers gives us all a better balance, allowing more freedom to juggle our busy lives.
We’ve also learnt that at times we need the magic of physically coming together in order to be creative, collaborate or simply just to connect.
Future ready Vodafone will allow us to work in a way which captures the best of both – the flexibility and empowerment of working virtually at home, whilst being able to come together in an amazing office space when that’s what’s needed to get things done.

Need to use a future ready office?

First things first – you will need to book your future ready workspaces using the Vodafone Office Spaces booking app. Check out our quick start guide and intro video on the buttons below for help in getting started.
Once registered, you can book spaces in our offices, find your colleagues, and plan your visit. Bookings can be made up to 3 weeks in advance.
In the Office Spaces app you can easily swipe between office locations and select your working space to match your activity, whether that’s an individual desk, a desk for your team, a team collaboration area or a closed meeting room.
Don’t worry if you’re not sure which to choose, as there’s a description of your space, information about accessibility and ideas of the types of activity or work which would be best suited for the space you’re booking.

Welcome to your
future ready office space

Don’t you love what we’ve done with the place? Our offices will be used for us to connect, collaborate, create and concentrate, and we’ve been working hard to make our spaces future ready.
It's been a while, so have you misplaced your access card? Or are you new and never been to the office before?

If you have joined Vodafone since the start of the pandemic, your access card will be waiting for you at the office that is your Hub location, in the on-site Help Hub. All sites have a Help Hub and they’ll be in the main reception or clearly signposted.  They’ll be there to help you with any questions you may have, or simply direct you to where you need to go and even offer you a tour.

If you’ve lost your access card, please contact
Hqaccesscard@vodafone.com and your replacement card will be sent to the Help Hub at your Hub location, ready for you to collect on your first day back in the office.

What will the offices be used for?

Our future ready offices are there for us to connect, collaborate, create and concentrate when we need to.
1.

To feel together. We’ll occasionally come together in the office for team effectiveness and team building meetings and exercises, as well as for large-scale internal events and launches.

To feel connected together. We’ll occasionally come together in the office for team effectiveness and team building meetings and exercises, as well as for large-scale internal events and launches.
To work together. Sometimes we’ll gather for cross-functional working, meetings with customers or suppliers, for the run-up preparation of launch events, and for roadshows.
To create together. We’ll meet to put our heads together for powerful problem solving and brainstorming, for group ideation and design events, and for inspirational project kick-offs.
To focus. When we’re between meetings, or just need time or space to focus, we can use the hotdesk spaces for some concentrated thinking time and to focus on a particular task.
Time to take the tour! Our video will guide you through some of the exciting changes on our sites, and how our working spaces should be used to get the most from them.

Our new Help Hubs

Welcoming you back to the office, our Help Hubs are an addition to each of our sites. Equipped to deal with every query you might have, they will be staffed every weekday by our fantastic facilities management team. The Help Hubs will be located in the main reception of your site or clearly signposted.

Are you lost? Got in a muddle with the Office Spaces booking tool? Simply have a question? Visit the Help Hubs and they’ll be happy to help.

Health and Safety on-site

Wherever you work our priority is making sure that everyone is safe, at all times. You can find more information and support on the Health and Safety Hub.
Don’t forget we have a wellbeing community of Vodafone UK colleagues who are our Mental Health First Aiders (MHFAs). They are a trained, free, voluntary service who are there to provide confidential support, whether for your personal or work life. They are available to listen, in confidence and without judgement. You can see a list of all 150+ MHFAs here.

Becoming future ready:
Covid safety measures

We may not have social distancing keeping us apart anymore, but we’re still doing loads to ensure our sites are kept clean and safe for your return.

Social distancing bands

Enhanced cleaning

Hand sanitisers and
cleaning wipes

Fresh air supply

Building and event capacities

Mask wearing

Vaccines

Reporting Covid
cases

Feeling worried?

If you are feeling worried about returning to the office, or about anything at all, please make sure you discuss with your manager if you feel comfortable doing so. Don’t forget we also have our Mental Health First Aiders and our Employee Assistance Programme (EAP). Please visit the Wellbeing sharepoint site for details on how to get in contact.

You can also visit the Coronavirus FAQs, and the future ready FAQs.

Social distancing bands

Available for free at all our on-site Help Hubs, these bands let people know how you are feeling about social distancing, so you don’t have to explain the slightly awkward ‘I don’t feel comfortable shaking your hand quite yet’.
  • Blue bands: “HI! It's great to see you but I'm not comfortable with handshakes, hugs or high-fives”
Please be mindful of anyone wearing a band and if in doubt always ask!

Enhanced Cleaning

We have increased our cleaning regimes at all of our sites and are even more thorough now than we were before! This means we’ll be cleaning more thoroughly, more often with a particular focus on frequently touched areas and items.

Hand sanitisers and cleaning wipes

Hand sanitiser stations are available at all building entrances and all the communal spaces. Cleaning wipes are also readily available throughout for use as needed.

Fresh air supply

Our sites already use large scale fresh air ventilation systems. In line with Government guidance, our fresh air systems have been increased to provide more supply, and this means that in a very small number of spaces we’ve had to do a bit more to top this up. We continue to monitor the fresh air levels across all of our office estate and have processes in place to enhance this if and when required.

Where we previously had lower levels of fresh air in our offices (and there are very few of these!), we are introducing a UV filtration system that will process the air and kill any harmful airborne bacteria or viruses.

Building and event capacities

For the time being, we will be operating at a lower building capacity to limit contact and keep you all as safe as possible. Capacity will be managed through the VBOS booking tool.

Physical face-to-face gatherings of over 30 people (i.e. large team meetings) are not permitted until further notice. Again, we’ll continue to review the situation and let you know when this can be relaxed. It’s also important that you do not exceed the capacity in any of our closed meeting rooms

Mask wearing

We recommend that masks are worn when moving through the offices and in communal office areas.

If you have forgotten a mask and need one, there will be some available at your on-site Help Hub.

Vaccines

You are not required to have been vaccinated to visit or work from our offices, although we recommend you all take up the vaccine from the NHS.

Reporting Covid cases

If you test positive for Covid-19, and/or if you have been asked to self-isolate and you are not exempt as per local Government guidance, you are legally required to inform us of this. You can do this by filling in the Covid-19 self-isolation form. You must complete this form as soon as you can following your positive test or being told of your requirement to self-isolate.

Why is this important? If you test positive and have visited our offices, it is vital that we know as soon as possible so that we can perform our own internal Track and Trace process. You need to tell us, as soon as possible, here.

Home sweet
home

If you’re going to be working at home, it’s important you have the right know-how and equipment to keep you healthy and productive.

The Ninjas are
on hand

Make sure you reach out to our Digital Ninjas for support and tools to help you and your team develop your digital capabilities.

Structure
your day

Take time for regular breaks, including lunch! Try to avoid back-to-back meetings and leave yourself with plenty of ‘thinking’ and ‘doing’ time.

Look after
your Wellbeing

The health and happiness of you and your team are so important to us.  We know that wellbeing is not a constant and sometimes you need a little extra support. Make sure you make use of our Wellbeing services whenever you need.

time wisely
